Building management requires more than experience

Building management often relies on experience over a long period. You have a general idea of which rooms require significant effort. You know the employees. You know which tasks arise daily, weekly, or only occasionally.

This is valuable. But it's not always enough. As soon as buildings become larger, their uses change, or budgets are reviewed, more than just a feeling is needed. Then it must become clear where effort is required and how much time is actually needed for each task.

Building management overview including school, building maintenance, cleaning, technology, outdoor facilities, planning and personnel costs.

Why experience alone is not enough

Many tasks in building management are invisible as long as they are being done.

• Cleaning only becomes noticeable when it's missing.
• Building maintenance only becomes noticeable when something isn't working.
• Grounds only become noticeable when they're neglected.
• Organization only becomes noticeable when responsibilities are unclear.

That's precisely why the effort involved is often underestimated.

Costs are not only incurred by square meters

A large area doesn't automatically mean a lot of work. A small area doesn't automatically mean less work. Crucial factors include usage, room type, flooring, cleaning frequency, machinery, access, furnishings, and special tasks.

A classroom, a gymnasium, a restroom, and a utility room have completely different requirements. Anyone who wants to plan building management effectively needs to understand these differences.

Good planning requires clear foundations

Transparent building management begins with simple questions:

• What tasks need to be done?
• How often are they performed?
• How long do they take?
• Which areas require the most effort?
• What percentage of a full-time equivalent position is realistic?

Only when these questions are answered can the planning become reliable.
